Camp Registration, Payment & Cancellation Info


CAMP REGISTRATION POLICIES & PROCEDURES
  • Registrations are accepted for all camps online or in person (registrations are not accepted over the phone)
  • In-person registrations need to have created a household account on the Rec. website before coming in.  (Only cash or check is accepted at the office)
  • Registrations are accepted on a first-come, first-served basis. (Some camps have limited enrollment, so early registration is encouraged)
Camp Registration:
  • Online registration is available with a credit card payment (a processing fee of $2 or 3.5 %, whichever is higher, plus 10 cents is added).
  • If a non-refundable deposit is available, it can be paid for online. However, the remaining balance is due for all camps before the second Friday of June. (you can pay down your balance at any time before the due date- weekly, monthly, etc)
  • Offline registration is available at the Recreation Dept. with a check or cash. You have to come in to do this. Please be sure to create a Household Account online before coming in if you don't have one already.
  • R.E.C. Camp has the option to Register Online and Pay Offline with a check or cash.
  • Registrations are NOT accepted over the phone or by email.
  • After the June deadline date, deposits are NOT accepted. Camp balance must be paid in full at the time of registration.
  • If a camp is full, you can register for the waiting list using the Online Payment Option. No fee will be charged.
NOTE:
   No registrations are accepted after the 1st day of an Enrichment Camp or after the first day of a session for the Day Camps.

Day Camp Registration Deadlines
  • Online Registration- closes the Sunday before the start date of each session.
  • In-Person Registration- at the Rec. Dept. closes at 4:00 pm the Friday before the start date of each session.
Enrichment Camps Registration Deadlines
   1st Deadline for Enrichment Camps- The First Friday in June
This deadline is used to determine if the Enrichment Camps- Sports, Specialty & Technology- have met the minimum number required to be offered.  The instructors are notified on this date of their numbers and can choose to cancel or offer their camp.  Participants of any camps canceled will be contacted the following week and offered a transfer to a different camp or a full refund (minus the processing fee, which the Dept. does not see or collect).  This deadline is done so families can find other opportunities for their children if an Enrichment Camp is canceled.
   2nd Deadline for Enrichment Camps
Registration for all Enrichment Camps closes the Thursday before the start date of each camp. Fridays are for preparing lists for the next week of camps.  

CAMP DEPOSITS & PAYMENTS
  • Online Registration with Online Payment- Payment with a Credit Card
    • Select the camps that you want and place them into your cart.
    • Proceed to check out.
    • At the payment option choose- "Check Out Online" and pay with a credit card.
    • You have the option to pay the full balance or the deposits. Your child will then be enrolled in the camps or sessions that you choose.
    • There is a Processing Fee for the use of credit cards when paying online, an additional fee of 3.5% + $0.10 with a minimum fee of $2.00 will be charged, whichever is higher, on your total balance at the end of your transaction.
    • The program fees will be billed by Williston Recreation & Parks, and the processing fees will be billed by GovtPortal.  Fees are non-refundable.  The town does not collect or keep the fees.
  • Online Registration with Offline Payment for R.E.C. Camp- Print Form and Pay with Check/Cash
    • Select the sessions of R.E.C. Camp that you want for your child and place them into your cart.
    • Proceed to check out.
    • At the payment option choose- "Check Out Offline" and print off the Registration Receipt.  
    • The form and payment (Cash or Check) need to be dropped off at the Recreation Dept. or the drop box.
    • Drop Box- A drop box is available for after-hour payments. The box is located at the back entrance to the Town Hall Building- 7900 Williston Rd.  Place the form and payment in an envelope marked "Recreation".
NOTE: Using the Offline Payment Option- "Check Out Offline" does NOT enroll the person for the sessions of camp that were selected, until payment, check or cash, has been received and processed.  The person is not counted towards the minimum or maximum numbers for a session and may not get in if it fills before payment is received and processed.  Drop off payment immediately.
 
CAMP CANCELLATIONS & REFUNDS
  • The Recreation Department reserves the right to cancel or consolidate any camps that do not meet the minimum participation required.
  • A full refund will be issued if the camp is canceled by the Rec. Dept.  Registered participants will be notified by email of any changes or cancellations.
 Camp Refunds:      This Policy is specific for all Summer Camps.
  • If a participant cancels out of a camp or a session Eight (8) days before the start date of that camp or session, a refund, less the $25 Non-Refundable Deposit per child, per camp, per session will be given. 
  • No refund is given if cancellation happens less than Eight (8) days before the start date of a camp or session.  Commitments have already been made to instructors.
  • If there is an outstanding balance for the household, any refund will be automatically applied to that balance and any remainder will be refunded.  Refund checks take approximately three weeks to process.
NOTE: No refund is given for disciplinary dismissal of a day or the remaining part of a session or camp.


MARKETING
  Recreation Programs are marketed on the following platforms- Recreation Website, Facebook, Front Porch Forum, Williston Observer, Monthly E-Rec Newsletter, and The School Newsletter.  The Program Guide is mailed twice a year- the Fall/Winter Guide in August, and Spring/Summer Guide in February.
